This summary helps you read the document; the full text below is what applies.
1. Who we are
This policy is from K-Jensen LLC, 212 W. Troy St. STE B, Dothan, AL 36303 (support@kagen.cloud, 817-422-8663). Kagen Cloud and Kagen Mail are our products. It covers our websites (kagen.cloud and kj-mail.com), the customer portal and our services.
We're a small, US-only business. We offer our websites and services only to adults who live in the United States, and not to residents of Texas, Utah, Louisiana or California (see section 9).
2. What we collect
On our websites. This site sets no cookies and has no analytics, tracking pixels, ads or third-party scripts. Our servers keep standard logs of requests (IP address, the page, the time, the browser's user-agent), as every web server does.
When you fill in a form. The sign-up and contact forms collect what you type: your name, email address, and optionally your company, phone number, website, what you're interested in, a message and a promo code. We also record the IP address and browser the form was sent from, to stop abuse.
Where you are. To keep our services in the United States (section 9), we look up the approximate location (country, and US state) of the IP address a sign-up, sign-in or page request comes from. The lookup runs on our own servers against a copy of DB-IP's IP-location database, so no outside company sees your address for it. We don't keep the result with your address: we keep only totals (for example, how many requests came from outside the United States). When you ask for an account, accept an invitation or are given a sign-in, we also ask which state you live in and keep that with your account.
When you have an account. Account and billing details (names, email addresses, phone numbers, billing address), who is on your team and their roles, what you create and use in the portal (for billing and support), and a record of changes made in your account (an audit log).
What you store with us. Your websites, email, files, databases, apps, videos, logs and everything else you put on the Services ("Your Data"). We handle Your Data only to provide the Services to you (see section 5).
Payments. Invoices are paid on Stripe's secure page. Stripe collects your card or bank details; we never see or store them. We receive the payment status and the last digits Stripe shows us.
3. How we use it
- To answer your request, set up your account and provide the Services.
- To bill you and keep financial records the law requires.
- To keep the Services secure: to detect and stop attacks, spam and abuse.
- To contact you about your account, invoices, incidents and changes to our terms. We don't send marketing email unless you ask for it.
We don't sell personal information, we don't share it for advertising, and we don't use Your Data to train AI models.
4. Where it's kept and who helps us
Your Data is stored on hardware we own and operate in a data center in Atlanta, Georgia, on redundant disks, and backed up to a second machine every hour.
A few suppliers help us run the Services:
| Supplier | What they do for us | Where |
|---|---|---|
| Stripe, Inc. | Invoices and payments | United States |
| netcup GmbH | Our edge servers, which pass website traffic to our data center and cache public pages; one of our encrypted offsite backup copies | United States and Germany |
| Cloudflare, Inc. | DNS for some of our own domains; one of our encrypted offsite backup copies (R2 storage) | United States |
Offsite backups are encrypted before they leave our data center, with keys only we hold, so these suppliers can't read them. We'll update this list before we add a supplier that handles personal information.
5. Customer data: we're your processor
For Your Data (for example your customers' details in your website's database, or the email in your mailboxes), you're in charge and we act on your behalf. We process it only to provide the Services and as you instruct, under our Data Processing Addendum. If your customers ask you about their data, we'll help you answer.
6. How long we keep it
- Sign-up and contact requests that don't become an account: up to 24 months from our last contact, then deleted.
- Account and billing records: while you're a customer, and billing records for as long as tax law requires (usually 7 years).
- Your Data: until you delete it or close your account. Backups age out on their normal schedule (days to weeks, depending on the product). After termination for non-payment we keep data for 30 days (see our Terms).
- Server logs: usually a few weeks, longer for security records.
7. Security
Access to our systems is limited to K-Jensen LLC, protected by single sign-on, and logged. Connections are encrypted, customers are isolated from one another, and backups are encrypted offsite. We don't claim certifications we don't hold. If a breach affects your personal information, we'll tell you without undue delay, with what we know and what we're doing.
8. Your choices and rights
You can ask us for a copy of the personal information we hold about you, to correct it, or to delete it, by emailing support@kagen.cloud. Account holders can export Your Data at any time from the portal. We'll answer within 30 days. We may need to keep some records the law requires, and we'll tell you if so.
9. Where we offer our services
K-Jensen LLC offers its websites and services only in the United States, and not to residents of Texas, Utah, Louisiana or California, whose laws require app stores and app developers to verify or collect users' ages. We don't offer them to people located outside the United States, including the European Union, the European Economic Area, the United Kingdom, Canada and Mexico. Such use is prohibited. If we learn that information came from one of those places, we may decline to respond, refuse service and delete it. See "Who can use Kagen Cloud" in our Terms of Service.

10. Children
Our Services are only for adults. We don't offer them to anyone under 18 and don't knowingly collect information from anyone under 18. If you believe a person under 18 has given us information, email support@kagen.cloud and we'll delete it.
11. Changes
We'll post any change here with a new date. If a change matters to existing customers, we'll email them before it applies.
